Your evidence, organized before the survey

Each review you run leaves a record. HealthLiteracyCopilot sorts the records by the rules you track. You bring the licensed text of each standard.

What it does

  • Evidence organized against the program requirements your organization tracks.
  • Each record keeps the score, rubric version, reviewer, decision, time and a tamper-evident hash.
  • A readiness view and stale-evidence detection.
  • PDF and ZIP binders, surveyor share links and legal hold.
  • Two people approve each change to the requirement catalog.

Readiness view

See what is ready, and what has gone stale

The readiness view counts the requirements that apply to you. It gives no half credit, and unknowns stay in the count.

Requirements met

9 of 15

2 not applicable, left out of the count

  • 9 met · counted as met
  • 3 partly met · no half credit
  • 1 not met · a gap to close
  • 2 not assessed · unknown stays in the count

Stale evidence, flagged

Each record keeps a hash of what was bound. Before a binder is built, HealthLiteracyCopilot checks every source again.

  • A record turns stale when its source changes after you bind it.
  • A source that was removed is flagged too.
  • The old snapshot stays readable, so nothing is lost.

Bind and share

Hand surveyors the binder, not your system

Export a binder, share a link that ends when you say, and keep the files while a hold is on. Your accreditation team still decides readiness.

  • PDF and ZIP binders

One binder per program, organized by requirement, ready to export.

  • Surveyor share links

A secure link that expires. You can revoke it, and each visit is logged.

  • Legal hold

Place a hold and the binder files are kept, not deleted, until you lift it.

  • Two-person catalog approval

One person proposes a change to the requirement catalog. A second person approves it.

How it works

  1. Step 1: Record

Assessments, revisions, accessibility reviews and mandate decisions are saved as you work.

  2. Step 2: Track

See what is ready and which evidence is stale.

  3. Step 3: Bind

Export a binder as PDF or ZIP, organized by requirement.

  4. Step 4: Share

Give surveyors a secure link. Place a legal hold if needed.

Questions

Does this mean we are ready for a survey?

No. It organizes material-level evidence. Your accreditation team decides readiness.

Does it include Joint Commission or NCQA text?

No. You add the standards text your license allows. Two people approve each catalog change.

What makes evidence stale?

Each record keeps a hash of what was bound. If the source changes or is removed after that, the record is flagged as stale before the next binder is built.

How do surveyors see the binder?

Through a secure link that expires. You can revoke it at any time, and each visit is logged.
